CHAPTER ONE
INTRODUCTION
1.0 Introduction
Academic programme information is not always available, accessible to all. At times those in-charges to offer the information fail to plan and implement it. These have in many ways lead to almost collapse of the academic system because the public is left to think what they like and act in repugnant to the suppose structure of the system, hence, the reverse of education.
Academic programme management system provides all the tools to track students as the move towards program completion and graduation. The system offers calendar, which includes year, month and week of semesters activity, it gives the user ability to stay on top of students progress and assessed it, used it in decision making process and ensuring students receive the support they need to succeed. It is designed to review and to view each student at a glance, including the courses a student is taking in each semester and evaluate that student’s status and academic record against and established standard of the school. Each of these inputs also ties into strong functionality around satisfactory academic progress. The satisfactory academic performance is used to understand and predict student outcomes, review academic policies to determine enrollment eligibility, and evaluate student progress in real time. It shall offer quick and easy access to a students academic information to determine when and to what extent outreach is necessary to keep that student fully engaged. The academic programme management system makes it possible to easily track and report on a student’s course and program information.
Educational system of any institution(s) becomes effective and paralleled with opportunities for individuals to choose what they want, thereby work towards their dreams and goals if the academic progremmes are available to them timely, sufficient, detailed and presentable in a manner they can access, comments and make choice. Academic programmed management system is a management information system that shall offer vividly the academic course, study period/school calendar. It will for guidelines, procedures and other expected efforts from students and administrators to meet the set visions of the academic institutions.
1.1 Theoretical Background
Akwa Ibom State Polytechnic, Ikot Osurua is a State owned institution established in 1991, it offers Pre-National Diploma, National diploma, (ND) and Higher national Diploma in various courses. The polytechnic is headed by Rector, who is the executive director and other administrative heads, academic board committee, governing council committee, management committee and head of department, who work collectively to attain the vision of the school and report to the rector. Courses offered and divided into related fields and schools (faculty) head of Deans, Head of Department and other sub-head who are assigned with specific tasks.
1.2 Statement of the Problem
The existing system of the academic programme management system is faced with and challenges such as:
- It is paper-base and error prone.
- Improper registration due to little understanding of the programmes
- Late release of academic calendar
- Inaccuracy due to manual and tedious calculation
- Information retrieval difficulties and inefficiency of the system.
- It is not efficient and effective in discharging it duties of planning for the school academic programmes.
- The existing academic programme management system in the school does not allow for course major i.e area of specialties but treats courses at it general apex.
- The existing system lacks in versatility and flexibility, adjusting to new trends in academic calendars which retards human potentials.
- The system lacks timely update, storage (permanent), of pas or previous academic protgramme structure which can be compared with present and review of it.
1.3 Aims and Objective(s) of the Study
The aim of the study is to automate and replace the paper-based academic programme management system which is face with many challenges of error, accessibility, availability and efficiency.
The objectives of the study shall major on the following
- Developing of a working academic programmes system that is available and accessible in the institution.
- To set standard and allow for efficiency, effectiveness in planning and setting academic calendars.
- To make the system accessible to schools and departments in the institution
- The system will ensure quality in planning and management, setting of curses and other academic activities with overview of the other without colliding.
1.4 Significance of the Study
The new system shall allow for easy management of the academic programmes, new accreditation of courses into the institution, set standards for academic activities, review of students’ progress, areas that require new attention, tracking of academic resources and student, lecturers activities, easy retrieval of records, provide timely updates, available to every administrator and students. It will always offer an enhance view of the academic structures, eliminates errors, tedious and repetitious activities, assist in decision making processes and would be a boost to the economy f the academic system
The new system will allow for self – study, peer review i.e department assessment, periodic external review i.e comparing with other institutions. It shall provide clear and unambiguous assurances that accreditation offers meaningful guarantees of educational quality. It shall provide for wide array of educational programs on individual institutions. Preserve institutional diversity and academic freedom. Expand existing trends on academic programmes. Build on the current structure and role of regional accreditation. Increase the centrality of evidence about student success and educational quality.
1.5 Scope of the Study
The study develops a central academic system that coordinates all sections, functions of the academic system from setting of academic programmes, calendars with courses and activities.
The study is limited to academic programme management system development, which establishes a system to plan for the school academic functions and activities.
1.6 Organization of the Research
The research project has been arranged in the following order:
Chapter One: This chapter introduces the role of computer in an institution for management of information system.
Chapter Two: This chapter highlights literature review on academic programme management system as academic structures.
Chapter Three: This chapter focuses on system analysis and design of the research project, system design, input layout, program flowchart and output layout.
Chapter Four: This chapter details the implementation of the system, system design, choice of programming language, analysis of modules, programming environment and implementation codes.
Chapter Five: It focuses on the summary constraints of the study, conclusion and recommendations of the research
1.7 Definition of Terms
Academic: This relates to learning institution. It is usually a place where scholars and students come together to acquire, research and teach.
System: This refers to a sets of inter-dependent, inter-related components, parts working together to achieve a particular goal.
Programme: This refers to list, sets of activities within specified unit, period, time, designed to achieve or be perform.
Management: Is the organization process that includes strategic planning, setting, objectives, managing resources, deploying the human and financial assets need to achieve objectives and measuring results. Management also includes recording and storing facts and information for later use or for others within the organization.
Faculty: A faulty is a division with a university comprising on subject area, or a number of related subject area.
Tracking: Is separating pupils by academic ability into groups for all subjects or certain classes and curriculum within a school.
Institution: Is any structure or mechanism of social order governing the behavior of a set of individuals within a given community; may it be human or a specific animal one.
Information: These refer to the knowledge of specific events or situations that has been gathered or receive by communication; intelligence or news.
School calendar: Is a calendar that schedules all the school activities such as lecture period, matriculation and graduation.
Record: A record is a document, data, set of data that is created or received in the course of an organizations business that has content like the text, data, metadata, symbols, numerals and images etc.
